Position Overview
ESIP is looking for an Operations Director with strong organizational skills to lead planning and implementation of activities for the organization. The Operations Director will be responsible for internal controls for ESIP including bookkeeping, HR, and logistics. This position reports to the Executive Director. This position is 40 hours per week and is fully remote. Candidates must be legally authorized to work in the U.S. and reside in one of the 50 United States or the District of Columbia.
Primary Responsibilities
All ESIP staff must be committed to the organization’s mission and be strongly invested in supporting an efficient and effective organization that serves the scientific community. Additionally, the Operations Director’s responsibilities include the following:
- Budget and Accounting operations: Complete A/P, A/R, monthly close and payroll. Support budget design and lead implementation, providing Executive Director and Board with variance analyses and cash flow projections. Use federal payment systems (ASAP.gov, PMS.gov, eRA Commons). Make sure expenditures comply with funding restrictions (e.g., Uniform Guidance in 2 CFR 200, funder agreements). Liaise with external accountants. Manage audits.
- Board of Directors support: Schedule quarterly Board and Administrative committee meetings, prepare briefing materials, and take meeting minutes.
- HR functions: Oversee and manage recruiting, personnel policy design and implementation, labor law compliance, employee relations, and benefits administration.
- Meeting planning: Lead biannual community meeting planning and logistics including venue and venue requirements, contract negotiations, meeting budgets, and staff travel arrangements.
- Corporate compliance: Lead tax return preparation and completion, insurance acquisition and retention, trademark renewal, and record retention. Consult organization lawyers as needed. With the Executive Director and Board, develop and execute contracts and MoUs.
Desired Skills, Experience, and Qualities
The ideal candidate will have many of the experiences and qualifications described below, but
need not possess them all to be considered:
- Proficient in Google and Microsoft Office Suite
- 3-5 years of experience with Quickbooks Online
- Familiar with Federal payment systems (PMS, ASAP.gov)
- Experience with grant financial reporting
- Knowledge of accounting best practices
- Experience developing or reviewing vendor contracts
- Familiar with project management and CRM platforms
- Successful working independently or collaboratively as part of a small, distributed team
- Familiar with nonprofit scientific organization activities and needs
- Routinely delivers high-quality, accurate, prompt written and oral products
- Has strong organizational skills, attention to detail, and follow-through
- Able to develop and implement well-reasoned solutions to new challenges
Travel
The Operations Director must be able to travel to support 2-4 meetings a year. In addition to those meetings, the Operations Director may need to travel for training and other events.
Work Environment
This position is remotely based in a US state or the District of Columbia, yet access to a major
transportation hub and robust Internet connectivity are also essential.
Compensation and Benefits
The compensation for this position is expected to range from $85,000-95,000, depending on
experience. Benefits offered are: accrued vacation and sick time off, all federal holidays, health
insurance, short term and long term disability insurance, life insurance and other supplemental
plans, retirement plan with up to 5% employer match, monthly cellular phone and internet
allowance.
