Evolving Our Virtual Collaboration Spaces

Enhancing Security and Access: Changes to ESIP Community Call Registration

Many of ESIP’s Collaboration Areas come together each month to meet and work towards the goals they have identified as a working group. These sessions are the engine of our community, and over the past couple of years, ESIP staff have been working to identify the best way to maintain a secure environment for these calls without creating unnecessary barriers for those wishing to attend.

Learning and Evolving

A few instances of “Zoom-bombing” in the past and other security concerns made implementing some form of security guardrail for these calls imperative. However, we recognize that our initial attempt at addressing this challenge resulted in unintended barriers to participation.

We have reassessed our approach to ensure that security never comes at the cost of community collaboration. Starting March 2026, ESIP staff will be changing how registration is handled for our Collaboration Area calls by transitioning to a native Zoom registration interface.

The Benefits of Zoom Registration

Zoom offers a sophisticated interface for managing event registrations that allows us to better serve our working groups. By moving to this native system, you will notice several immediate improvements:

  • Instant Confirmation: When you register, details on how to join will be sent immediately to your email. This eliminates the long delays sometimes experienced under our previous system.
  • “Register Once” Efficiency: You only need to register once, instead of each month, to attend a Collaboration Area’s meeting for the entire calendar year.
  • Seamless Calendar Integration: Once registered, you can easily add the selected events to your personal calendar, ensuring the join link is always where you need it.
  • Automated Reminders: To help you stay connected, reminder emails with Zoom links will be sent out one hour before each meeting begins.

Our Commitment to the Community

You will still access the registration links through the community calendar you use today, but the registration process itself will now be handled directly by Zoom. This change reflects our commitment to a secure, professional, and accessible environment for all ESIP partners.
